Hydra Fleet to system monitorowania floty maszyn rolniczych wyposażonych w terminale HydraNav.
| Kategoria danych | Źródło | Cel przetwarzania | Podstawa prawna |

|---|---|---|
| Historia przejazdów (telemetria) | 30 dni | okres ustalany przez gospodarstwo w ustawieniach panelu |
| Pomiary stacji bazowych | jak wyżej | ten sam parametr |
| Mapy aplikacyjne przekazane do wysyłki | 60 dni | oryginał pozostaje u wystawcy mapy |
Dostęp do danych mają:
28 RODO):
| Podmiot | Zakres |
|---|---|
| OVH (OVH SAS / OVH Sp. z o.o.) — hosting w Polsce | udostępnienie infrastruktury, na której działa serwer i baza danych |
| Operator poczty (kylos.pl) | wysyłka wiadomości systemowych, np. odzyskiwanie hasła |
Podkład mapowy pochodzi z naszego własnego serwera (tiles.hydrasystem.pl,
w Polsce), a nie z serwerów zewnętrznego dostawcy map. Przeglądarka i aplikacja
Wcześniej mapa pochodziła z publicznych serwerów OpenStreetMap; same
Przysługuje Państwu prawo do:
Z praw dostępu, przeniesienia i usunięcia można skorzystać samodzielnie, bez kontaktu z obsługą — w panelu oraz w aplikacji mobilnej, w sekcji Konto → Dane i prywatność:
Jeżeli żądanie dotyczy konta pracownika gospodarstwa, informujemy o nim również to gospodarstwo — bo to ono zakłada i zamyka konta swoim ludziom.
Przed usunięciem zalecamy pobranie eksportu gospodarstwa — jednego pliku JSON zawierającego maszyny, konta i historię, bez jakichkolwiek haseł.
Adres do zgłoszeń: cra@hydrasystem.pl — podatności, incydenty bezpieczeństwa i podejrzenia nadużycia.

Document version 2.3 · applies to Hydra Fleet 0.5.11 · effective 7 September 2026
This document describes what personal data the Hydra Fleet system processes, for what purpose and on what legal basis, how long it is retained, who it is disclosed to, how it is protected, and how to exercise the rights granted by the GDPR. It also sets out how to report vulnerabilities and security incidents under the CRA. It is a complete translation of the Polish text above; in the event of any discrepancy, the Polish version prevails.
Hydra Fleet is a fleet-monitoring system for agricultural machines fitted with HydraNav terminals. It consists of a server, a browser panel and a mobile application. It shows the position and working parameters of the machines, allows a message to be sent to a terminal, a prescription map to be delivered, and reports stored by the terminal to be retrieved.
The controller of the personal data processed in the service is HYDRASYSTEM sp. z o.o., registered office in Janki (al. Krakowska 54A, 05-090 Janki, Poland), entered in the register of entrepreneurs of the National Court Register under KRS 0000689829, NIP (VAT) 5342556660, REGON 367981692, share capital PLN 5,000 — "HydraSystem". We decide what the service collects, how long it keeps it and how it is protected, and the requests described in section 7 come to us.
A farm using the service keeps no separate filing system of its own and enters into no processing agreement with us — what it does decide are its own settings: who gets an account, which machines are monitored, and how long the journey history is kept. Where a farm uses the service to supervise its employees' work, the duty to inform them — which comes from employment law — rests with the farm as their employer (see section 3.2).
Data protection contact: rodo@hydrasystem.pl; postal address as above.
| Category | Source | Purpose | Legal basis |
|---|---|---|---|
| E-mail address | registration, or an account created by the farm administrator | account identification, sign-in, password recovery, service communication | Art. 6(1)(b) GDPR (performance of a contract) |
| Name (optional) | given when the account is created | identifying the person in the farm's list of users | Art. 6(1)(f) GDPR (legitimate interest) |
| Password — as a cryptographic hash only | set by the user | authentication | Art. 6(1)(b) GDPR |
| Two-factor authentication secret and recovery codes | generated when the feature is enabled | second authentication factor | Art. 6(1)(f) GDPR |
| Sessions: device label, creation and last-use dates | from signing in | allowing sessions to be reviewed and revoked | Art. 6(1)(f) GDPR |
| Audit log: sign-ins, configuration changes, commands and messages sent | from use of the system | accountability, security, support | Art. 6(1)(f) GDPR |
| IP address | from the connection — server logs and the sign-in throttle | protection against password-guessing attacks, diagnostics | Art. 6(1)(f) GDPR |
The system does not process contact lists, user files, or marketing and analytics data. The phone's location never reaches our server — the app can read it, only when the "Show where I am" button is pressed, to draw your own position on the map beside the machines; the reading stays on the phone, is neither transmitted nor stored, and ends when the screen is closed. No tracking cookies and no third-party analytics are used; the session cookie serves solely to keep the user signed in. The mobile application asks for internet access, for the camera — only to read a QR code when signing in or pairing — and, if you ask for it yourself with the button on the map, for the device's location, for the purpose described above.
The terminal sends telemetry: position, speed, heading, worked area, distance travelled, implement state, tank level and the ISOBUS parameters the machine makes available. This is machine data, not driver data — the system does not record the identity of the operator and does not associate a journey with a particular person.
We do, however, draw the attention of the farm as employer to the fact that where the same person habitually drives a given machine, the recorded track may indirectly indicate where that person was during working hours. Informing employees about the scope of monitoring is the employer's duty; the retention period for the history is the farm's own setting in the panel.
| Data | Default period | Notes |
|---|---|---|
| Journey history (telemetry) | 30 days | set by the farm in the panel settings |
| Base station measurements | as above | the same setting |
| Prescription maps submitted for delivery | 60 days | the original remains with the issuer of the map |
| Copies of files retrieved from a terminal | 30 days | the original remains on the terminal |
| Database backups | the last 5 copies | older ones are removed automatically |
| Audit log | 24 months | accountability record; loses its link to the person when an account is deleted (section 7) |
| Server logs (including IP addresses) | short-term | rotated automatically — a fixed-size buffer, the oldest entries are overwritten |
| User account | until deleted | by the user or by the farm administrator |
Deletion after the retention period is automatic: at server start-up and once a day. It requires no action by the user or by support staff.
Data is processed on a server located in Poland. It is not transferred outside the European Economic Area.
Access to the data is held by:
One farm's data is not available to another farm. The separation is enforced on the server, not merely in the interface.
HydraSystem staff may — solely for the purpose of handling a support request — act in the panel on behalf of a user. Every such action is recorded in the audit log on both sides, a session held in this mode is clearly marked, and its privileges are limited: it cannot delete an account or take over the privileges of a further person.
Processors acting on our instructions (Article 28 GDPR):
| Entity | Scope |
|---|---|
| OVH (OVH SAS / OVH Sp. z o.o.) — hosting in Poland | the infrastructure on which the server and database run |
| Mail operator (kylos.pl) | delivery of system messages, e.g. password recovery |
The map is drawn from our own server (tiles.hydrasystem.pl, in Poland),
not from an external map provider. Neither the browser nor the app makes a
single request to a third party in order to draw the map, so no such party sees
a user's IP address or which area they are looking at. The map used to come
from the public OpenStreetMap servers; the map data is still OpenStreetMap
data, but we render and serve it ourselves.
We do not disclose data to third parties for marketing purposes. We carry out no profiling and no automated decision-making producing legal effects for the persons concerned.
HttpOnly), and
state-changing operations require a POST request, which prevents an operation
being triggered from a link in a message. You have the right to:
Access, portability and erasure can be exercised without contacting support — in the panel and in the mobile application, under Account → Data and privacy:
Other requests should be addressed to rodo@hydrasystem.pl; we answer without undue delay and within one month at the latest. Where a request concerns the account of a farm's employee, we inform that farm as well — it is the farm that opens and closes accounts for its people.
An account cannot be deleted by its owner where that owner is the last active administrator of a farm that still has other users, or the last main administrator of the system. A successor must be designated first — a farm without an administrator would lose the ability to manage its machines and accounts.
Deletion of a whole farm together with its machines and history is carried out by the main administrator at the farm's request. Before deletion we recommend downloading the farm export — a single JSON file containing the machines, accounts and history, without any passwords.
A breach you notice, or suspect, should be reported to us: rodo@hydrasystem.pl (technical security matters — cra@hydrasystem.pl). That is the first and the right address, including for a farm that notices something at its own end. We acknowledge the report, establish its scope and act on it; the farms whose data is affected are told by e-mail to the farm administrator's address, with the nature of the breach, its approximate scope, the likely consequences and the measures taken.
As the controller we also carry a statutory duty of our own, which no agreement can switch off: where a breach may result in a risk to people's rights and freedoms we notify the President of the Personal Data Protection Office within 72 hours (Article 33 GDPR), and where the risk is high, the people concerned as well (Article 34 GDPR). Whoever reports it to us does not have to do any of that themselves — that part is ours.
Hydra Fleet and the HydraNav terminal are products with digital elements within the meaning of Regulation (EU) 2024/2847 (the Cyber Resilience Act). We therefore operate a process for receiving and handling vulnerability reports.
Reporting address: cra@hydrasystem.pl — vulnerabilities, security incidents and suspected abuse. Matters concerning personal data should be sent to rodo@hydrasystem.pl.
Please state in your report: the product (Hydra Fleet, the HydraNav terminal, the mobile application), the version, a description of the observed behaviour, and how to reproduce it. A screenshot or a log excerpt is helpful; if it contains personal data, please remove it or mark it clearly.
How reports are handled:
Product security support: releases are versioned and accompanied by release notes, and a database backup is taken before every server upgrade. Security updates are provided for at least 5 years from the release of a given product version; customers are given at least 12 months' notice of the end of support.
